PDF security controls for repeat payroll work
Payroll is repetitive, deadline-driven and sensitive. That combination makes a documented routine more valuable than an occasional security reminder.
Separate preparation from sending
Prepare and protect the full batch before anybody starts sending emails. This creates a clear checking point between payroll production and distribution.
Use a controlled batch
- Work with one employer and pay period at a time.
- Count the input files and expected recipients.
- Apply the agreed password rule.
- Compare successful outputs with the input count.
- Sample-test the protected PDFs before release.
If a file fails, remove it from the delivery set until it has been checked and protected successfully.
Keep passwords out of filenames
Do not add passwords, dates of birth or employee identifiers to output filenames. Store temporary password lists securely and delete them according to policy.
