How to password-protect a PDF before emailing it
Email can be forwarded, stored on several devices and sent to the wrong address. A protected PDF adds a barrier around the document itself, provided the password is not included in the same message.
Protect the final document
- Choose the final PDF, not a working draft.
- Generate a strong password and process the file.
- Download the protected copy.
- Open it once to confirm the password works.
- Attach only the protected copy to the email.
Check that the attachment name and recipient match before pressing Send.
Share the password separately
Use a phone call, text message, approved messaging service or a previously agreed rule. Sending the password in the same email removes much of the benefit if that message is exposed.
Understand the limit
Password protection controls opening the PDF. It does not stop an authorised recipient taking screenshots, copying information or forwarding the password.
