How to password-protect payslips before sending them
Payslips contain names, earnings, deductions and other personal information. Password protection does not replace careful recipient checks, but it reduces the chance that somebody can open a payslip sent to the wrong inbox or exposed after delivery.
Prepare the payroll export
Export one PDF per employee and verify the payroll period. Keep a reliable mapping between the employee and the output file without placing unnecessary personal data in the password itself.
Protect each payslip
- Select the payslip PDFs in Batch Mode.
- Use a password rule your organisation can communicate consistently.
- Process the documents locally and download the protected copies.
- Test at least one file before distribution.
- Send each payslip only after checking its recipient.
Avoid predictable passwords such as a surname alone. If you use employee-specific values, combine information in a way agreed with your organisation and communicate the rule through a separate channel.
Delivery and retention
Send the protected PDF and its password through different channels where possible. Follow your organisation's retention policy for the exported files and any temporary password list.
